We were visited by Mary McCracken of pr.com. Representing ADC Kentrox, she is interested in learning what the City Club and our committee stand for and how they relate to technical companies in the Sunset Corrider. Joell and Jolinda--Join them for a pub night? Fun, learning, and camaraderie. Sue Ridge took up the challenge of setting up a date for a Tuesday evening at 6:00 after May 13. Web discussion - Stan the Man (Desired outcome: Team to get ideas as to how we can use the Web site to promote organizational change and to jazz up the City Club) The Vision: --------------- The City Club of Portland extends its sphere of influence to embrace the greater Portland Metropolitan area and the State of Oregon. City Club becomes known by cities nation wide and world wide as a model for informing citizens on important issues, engaging its citizens in activities to improve cities and state, and being a powerful force for change. City Club prospers as its membership grows. The Technology and Business Committee contributes to the vitality of the Club, engaging technical and other businesses from Hillsboro to Gresham and from Vancouver to Corvallis in issues regarding education in our community. The Tech-Biz Committee leads the charge to develop and maintain a valuable communication tool for the City Club to: * Increase public awareness of City Club opportunities and issues, * Improve City Club image as a thriving, growing source of valuable civic information and a force for a better City and State, * Expand interchange of ideas, * Provide clear, timely, and valuable information on issues of importance such as ballot measures, * Increase City Club membership, and * Conduct routine information transactions at reduced cost. The Plan ------------ The Tech-Biz Committee chairs, Web site chair, and committee members define an Internet presence for the City Club. It includes a revamped Web site and other Internet tools such as e-mail and discussion groups. The Web site has a new look and feel, fresh and alive by today's Web-site standards. It is the place to go to learn about ballot measures, City Club issue reports, and what is happening at the City Club: Friday Luncheon calendar, Issue committee objectives, plans, meetings. There is a forum to facilitate the exchange of ideas from people around the state. The Requirement--RECOGNITION ----------------------------------------------- Those who contribute to the vision (and put considerable professional time and sweat into the effort) should be recognized. For example, with regard to the design of the home page, "Web site design courtesy of Stanford Davis, with a hot link to my Web site or an e-mail address would seem appropriate. We would do the same for the company providing complementary hosting and other contributors who want it and have earned it. We could also do this for authors of sections. The URL ------------ If we can get a real virtual domain, we could change the Web site URL to something like http://www.pdxcityclub.org, or http://portlandcityclub.org, or http://www.portland-city-club.org. instead of http://www.pdxcityclub.org/~pdxcc. The Current Situation ----------------------------- The City Club and its staff have been focused on very serious issues and have had little time or resources for the Web site. Their current ability is to make only elementary changes such as changing Friday program information. However, adding a new Issue Report summary (one page of text) is a challenge not yet met. Stan characterized progress on the Web site as being in gridlock, while Neal saw us an empowered to make the changes we want. Whether the barriers are real or imagined, it will require strong leadership on the part of Tech-Biz program chairs to work with the City Club staff and Board of Governors, leadership and vision by committee members, wheeling and dealing to get resources, and lots of time and effort. Stan was asked to lead the Web site charge and accepted with the understanding that the recognition issue would be clarified satisfactorily. Stan will be calling for volunteers to plan the new site. Duncan and Dick, the Boobsey Twins, accepted honorary membership on a non-technical, working basis at the last meeting. Linda Howe volunteered. Larry Oeth is also interested. Wide-Ranging Discussion--Group Guidelines ------------------------------------------------------------- Led by Duncan. He wants to know what commitments that Tech-Biz members are prepared to make so that he can more effectively lead the group and chair the meetings and we can accomplish our agreed-upon goals. It will take considerable time and effort to define the new Internet presence, develop consensus, and implement it. In addition, it soon will be time to think about other innovative and interesting projects for the committee to undertake, more in the nature of a team rather than a committee. Respectfully submitted, Stan "the Man" Davis Attached are some suggested guidelinesfrom our quiet brainstorming at the meeting with (what else?) a few comments by Duncan. Tech & Biz Ctee GROUP GUIDELINES Here is our first cut at developing group guidelines for our T & B Meetings. Please think about how we operate and e-mail me (DSmith2361@aol.com) or Fax me (796-0806) your suggestions or comments. Guidelines will be a great help to Dick and me in planning agendas and later in thinking about our Committee goals for next year. If it's any help in knowing my goals for the group for this year, here's an excerpt from my own One-Minute Profile prepared in June 1996 (some of you may remember this Profile from last summer): HERE'S HOW I'D LIKE TO CONTRIBUTE TO THE TECH & BIZ CTEE: * Keep the dynamic spirit alive * Have fun * Come up with innovative programs * Get everyone involved * Build on the learning organization programs * Make sure we have clear goals that people are committed to The Committee has brainstormed the following suggestions for Group Guidelines (we have not accepted or rejected any of them--that will come later). Remember the definition we are using: "A collective agreement of the behaviors the group believes are necessary to create quality outcomes." Here's what we have so far: 1. Have fun, but also have a significant purpose and major missions. 2. Keep the 7:30 am start time, but end at 9:00 am. 3. Takje a position on using quid pro quo to give recognition to Committee members for contributions and to co-sponsors or othwers who assist the Club (e.g., an ISP giving us a domain for nothing). 4. Recognize that members have multiple levels of commitment and may not be able to help on certain projects, but they are still welcome to contribute at regular meetings. 5. Either have one meeting every three weeks or use the second meeting as an off-site, fun meeting. 6. Make certain there is a fun event for each meeting. 7. We should provide ideas for Friday meetings. 8. Be sure to make room for non-high-tech work. 9. When there are valid issues with the Club, we should make constructive, specific suggestions in writing and pass them on to the Board or staff. 10. We should have one official meeting and the other meeting for working groups or subcommittees. 11. We should have commitment and accountability re assignments or projects. 12. We will e-mail these guidelines to evreyone, and suggestions can be sent to Duncan for compilation and sending out to the group. 13. Since we have a continually changing membership we should have a history of our Committee, perhaps on our Web site. 14. We should have a shorter URL. 15. We should continue the linkage between business and technology. 16. At meetings we should present ideas for projects, have fun, and have activities like the Journal Club. 17. It would be helpful to the co-chairs to have members (especially those listed on the Agenda or posted for minute-taking) let them know by e-mail or otherwise whether they plan to attend (always recognizing last minute conflicts, etc.)--the Agenda should have a reminder re RSVP.. 18. Have hard copies of the Agenda for each meeting. 19. Be careful not to send more than agendas and minutes to people's business e-mail addresses unless they say it's ok. 20. Let's have more ideas on the electronic community. ---------------------------------------- Since I have the electronic floor, I would like to see the following: * Read the Agenda and give it some thought prior to the meeting. * Send suggestions to the co-chairs for agenda items. * Honor commitments (Minutes, other areas).
